Schedule 8 AM-4:30 PM Responsibilities Responsibilities Position Summary: With minimal direction and latitude for independent judgment, the Assistant Registrar serves as the principal assistant to the School of Nursing (SON) Registrar. This position is responsible for coordination of records, registration and student services functions. In collaboration with the SON Registrar, manage the registration of students, their enrollment and class scheduling. Assists with generating, compiling and providing statistical and survey material related to registration and academic records for internal decision support and information and for external purposes. Liaison between SON and University Registrar, Bursars Office, Financial Aid Office, University Office of Total Rewards and at Human Resources at Highland Hospital, International Student Office, University Information Technology, University Health Service, students, and faculty. Student Records 30% Serve as a liaison with the University Registrars Office for National Student Loan Clearinghouse (NSLC) enrollment verifications, degree verification, and student tracking and reporting. Devise and monitor the reporting timeline to ensure timely electronic submissions to the NSLC. Support complicated Change of Status procedures under supervision from SON Registration and University Registrars Office. Assist in the accurate preparation of reports and surveys requested by various offices including the University Registrars Office, Institutional Reporting, Advancement, University Dean for Graduate Studies Office, and state and national certifying bodies. Determine student eligibility for Deans List and Sigma Theta Tau Honor Society, and document accordingly on student transcripts. Work with Honor Society staff on hand-off of eligible students, and prepare communications to Deans List recipients. Use SON transfer credit policies to assign and document transfer credits on student record. Review student grades for failures requiring committee review, and track Incomplete grades for contract submission and fulfilment. Aid in review and approval of advisor-submitted degree plans. Provide support in updating and maintaining electronic student records for undergraduate and graduate programs in accordance with University policies and procedures in SON Database, Slate, and UR Student system. Registration 20% Responsible for planning, coordinating, testing, and setting up online registration in advance of open registration periods. Kick off UR Students onboarding process in UR Student each semester. Monitor and adjust registration for instructor-specific and variable-credit courses. Identify and contact non-registered students regarding student status. Process add/drops in consultation with the Registrar regarding refund issues. Assist with non-matriculated student registration and work with SON Center for Lifelong Learning staff regarding Cvent issues including course set-up and display, and registrant issues. Course Schedule/Course Maintenance 15% Coordinate the preparation, modification, distribution, and implementation of course schedules in collaboration with the SON Room Scheduler, Registrar, and the University Registrars Office, and using the SON Smartsheet process for capturing course time and day preferences, SON Database and UR Student system. Exercise extreme attention for detail in identifying, proofing and publishing variable course offerings, delivery mode and format of instruction, eligible registration population, class location, and instructors. Provide support to generate/review reports to find and correct errors in consultation with instructors, SON Registrar, University Registrar, and the Office of Institutional Reporting. Student Services and Support 15% Provide information to faculty, students and staff regarding University and SON policy and procedures. Make referrals to other SON and University offices as appropriate. Follow-up on payment issues and account holds in consultation with Bursars Office and Office of Total Rewards tuition benefit representatives. Responsible for completing enrollment verification and degree certifications according to established procedures for requests that cannot be handled by the NSLC, such as non-matriculated enrollment. Degree Completion 15% Support degree audit process and communication to students and advisors regarding remaining degree requirements With Registrar, assist SON Event Coordinator to plan year-long preparation for commencement ceremony and events. This includes ordering diplomas and other commencement-related materials and annual commencement mailing to candidates. Attend and assist at Diploma Ceremonies and Commencement. Assist in Latin Honors calculation and assignment of these onto diplomas and transcripts. Prepare final candidate lists for the University and School commencement programs and the Board of Trustees. Manage Convocation and Commencement awards voting process. Other Support 5% Provide support to Student Affairs Committee such as preparing agenda, minutes, student performance tracking and follow-up correspondence to students. Support to other committees as assigned. Special projects and other strategic efforts related to student affairs, as needed. Minimum Requirements: College degree combined with 1 year of relevant administrative experience. (Higher education experience preferred.) Knowledge and awareness of the operation of a post-secondary institution, registration process from recruitment to graduation, policies, procedures and practices related to higher education, and Family Educational & Rights & Privacy Act Regulations. Experience with student information systems and experience in process documentation. Ability to develop processes and utilize technology to increase efficiencies. Proficiency in computer and office software applications. Strong organizational and analytical skills. Strong verbal and written communication skills. Ability to interpret complex policies and procedures and the ability to prioritize, coordinate and manage projects independently. Demonstrated ability to maintain confidentiality.
