Job Summary:

The Contract Administrator is responsible for the coordination, control, tracking and reporting of commercial agreements. The Administrator ensures the agreed upon commercial terms and conditions are accurately integrated into the agreements for key customers in the US market. They are an essential part of the contracts process ensuring all e-mails, files, documents are kept track of, while reviewing contract requests, obtaining proper approvals and sending out reports.

Essential Functions & Accountabilities:

  • Manage, monitor & maintain the shared Contract Admin inbox ensuring all e-mails are recorded, saved, answered and assigned to the correct stakeholder.
  • Responsible for understanding business relationships and organizing materials for internal review. Includes initial review of customer proposed "deal" for acceptable terms and conditions and preparation of response with acceptable language changes for legal final review. Escalate unusual terms and conditions to legal team for consideration.
  • Manage cross-functional teams to execute the customer contract within tight turnaround times. Act as liaison between cross-functional teams to resolve questions.
  • Manage and maintain the contract process in Apttus for US accounts. Train users on Apttus, a contract life cycle management tool.
  • Review contract requests and liaise with the internal teams to ensure provided information is clear and correct.
  • Draft contracts using pre-defined templates and data provided by Legal, Commercial and Finance teams.
  • Proactively coordinate the contract administration process chasing approvals, signed contracts etc.
  • Proactively monitor contract renewal deadlines and any changes to active contracts.
  • Maintain accurate tracking of contracts and hold responsible parties accountable for agreed upon deadline.
  • Owns and coordinates updates to the U.S. Region Direct Trade Policy (DTP). Collaborates with Global Commercial Operations team to ensure approved global terms and conditions are applied to US Regions contract and direct trade policy.
  • Maintain all work instructions related to contract process and provide direction and training to internal teams as needed.
  • As business needs dictate, works extended hours to complete daily department goals or tasks that may include mandatory overtime.

Qualifications

Knowledge, Skills and Abilities:

  • Experience working with a contract life cycle management tool required.
  • Strong organizational skills, attention to detail and ability to multitask under tight deadlines.
  • Ability to analyze and critique business cases and demonstrate negotiation skills.
  • Excellent verbal and written communication skills.
  • Advanced Microsoft Office skills (including Word, Outlook, Excel, OneNotes).
  • Prior experience with Apttus CLM, DocuSign and/or Salesforce is desirable; ability and desire to learn and adapt to various applications is essential.
  • Capacity to work collaboratively in a fast-paced, virtual, and dynamic environment.
  • Ability to work independently with strong follow-through skills.
  • Experience in contract administration / contract management required.

Work Environment:

  • Normal office environment.
  • Sedentary to light physical effort necessary to perform the job.

Experience:

  • 3 years of experience in contract administration, Sales, Service or Operational support.
  • The role would suit someone who has experience in a legal department or commercial operations team responsible for customer contracts.

Education:

  • Bachelor's Degree or a combination of education and experience resulting in sound understanding of responsibilities is required.
