Job Description:

GENERAL PURPOSE:
The Manager of Advancement Events is responsible for formulating, planning and executing an annual line-up of events, leveraging connections with artists, curators, and cultural institutions to provide exclusive social/cultural engagement opportunities for donors and prospects. Works to cultivate, steward, and grow MAG's existing and prospective donor base and to engage diverse audiences. Works in close collaboration with the MAG Advancement team, MAG Events, MAG Marketing & Engagement, and, as needed, UofR Central Advancement Events.
RESPONSIBILITIES:
Director's Circle


  • In close collaboration with MAG Advancement Team, plans, coordinates and executes a minimum of five Director's Circle events per year (on and/or offsite), including but not limited to lectures, receptions, luncheons, dinners, tours with curators, trips to art museums, etc., as well as ad hoc social/cultural engagement opportunities for high-level Director's Circle members (when applicable).

    Annual Gala


    • In close collaboration with MAG Advancement Team, plans, coordinates and executes MAG annual fundraiser, An Artist's Affair. (Including, but not limited to, invitation creation/mailing, food/beverage, d--cor, web content, sponsorship levels, auction, tickets, web forms, gift processing, volunteer management, etc.)


    • Serve as the primary staff liaison to the Board of Managers Gala Planning sub-committee.


    • Assists Museum Director and MAG Advancement Leadership with prospecting/soliciting sponsors and tracking/reaching fundraising goals. Work with Marketing/Engagement to ensure target audiences are reached.


      Major Gifts


      • Works in collaboration with the MAG Advancement Administrative Assistant to help coordinate events or experiences for exhibition/program sponsors, including Sponsor Recognition Receptions.


      • Plans/executes Marion Stratton Gould Society/Herdle Leadership Society Luncheon


      • Works with Grant Manager to plan/execute annual Legislative Breakfast


      • Plans/executes other major gift receptions/salons/reveals, etc. as needed.


        Membership


        • In close collaboration with the Manager of Annual Giving, plan lively and engaging member activities (such as exhibition previews or behind-the- scenes access) designed to encourage growth in membership. These events include, but are not limited to, Docent Gallery Exhibition Preview Parties (-3-4 per year) and other member/new member events.


        • Work with MAG Marketing & Engagement (or outside vendors and community partners, when appropriate) to design mail/email invitations, emails tailored to members, as well as general membership promotion around MAG, in the community, and on social media


          Data Management


          • Manages data entry into all Advancement systems (such as the OASIS Events Module) for all MAG Advancement-related events for which the position is responsible, both pre and post event.


          • Works with IT to pull lists of prospects, guests, etc. with events-based queries from database for analysis, invitation, and follow-up.


            Budget Management


            • Creates and manages budgets for Advancement events, MAG annual gala, and all Engagement initiatives.


            • Works with bookkeeper to balance accounts.


            • Works with Director of Advancement, Director of Marketing & Engagement and Engagement Manager to forecast respective budgets and revenue.


              General Duties


              • Oversee the MAG Advancement Events calendar.


              • Provide event support to MAG Advancement team and Museum Director as needed.


              • Help staff Membership or Engagement events as needed.


                Other duties as assigned
                QUALIFICATIONS:


                • Bachelor degree required


                • Five years of experience in event management or related field required.


                  Preferred:


                  • Have a proven track-record of successful event coordination, from concept to execution. Experience in project management a plus.


                  • Able to work successfully with diverse groups, including museum and University staff (leadership and peers), community volunteers, outside agencies, and tourism/hospitality representatives. Having knowledge of University of Rochester policies is a plus.


                    Required necessary skill sets include:


                    • A strong sense of organization, attention to detail, planning, and time management.


                    • Self-starter and multi-tasker, with an ability to prioritize well.


                    • Effective written, verbal, and interpersonal communication skills, with demonstrated excellence in providing customer service to both internal and external stakeholders.


                    • Initiative to tactically plan then implement execution of Director's strategic vision and programmatic oversight.


                    • Budgeting skills.


                    • Must be able and willing to work some evenings and weekends each month as needed.


                    • Proficiency in Microsoft Office suite of software (especially Excel) and/or database/reporting software(s). Use of various social media outlets is a plus.

                      Pay Range
                      Pay Range: $53,500 - $74,900 Annually
                      The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
