Job Description:

The Business Operations Administrative Coordinator is a hands-on role which assists with a wide variety of operational functions, including the smooth running of our Rochester office on a day-to-day basis. The Coordinator will understand the personality of team members and help to support a cohesive team atmosphere through a deep understanding of Security Risk Advisor's mission, vision, and services. This position is non-exempt/overtime eligible.

Essential Functions

  • Provide on-demand administrative and travel support to team members.
  • Participate in Business Operations workgroups.
  • Serve as a liaison to team members, vendors, and building and security staff on issues related to office management.
  • Coordinate office visits involving vendors, clients, and other guests.
  • Coordinate catering and event planning for internal events and special projects as needed.
  • Receive mail; scan, file and distribute documents.
  • Regularly evaluate existing office space and make recommendations to optimize.
  • Purchase, unpack, organize, and restock office supplies, including snacks and beverages. Keep track of supply inventory and stay within budget.
  • Ensure that office kitchen and workspaces are tidy and properly maintained, and that furniture and equipment are in good condition.
  • Support Business Operations functions as needed.

    • Attention to detail.
    • Advanced skills in Word, PowerPoint, and intermediate knowledge of Excel.
    • Strong organization skills and ability to juggle multiple tasks.
    • Strong interpersonal skills.
    • Ability to remain calm under pressure.
    • Flexibility with shifting deadlines, schedules, and appointments.
    • Discretion with all company and personal information.
      Qualifications
      • College degree a plus but not required.
      • At least one year of experience as an administrative assistant or in a related role.
      • Able to lift office products and supplies, up to 25 pounds.
      • Comfortable learning new technologies.
